Converting local cases

TextMap continues to allow you to convert previous version cases to the current release version. For example, you can upgrade a TextMap v5.0 case to a TextMap v6.0 case and have it still write to a Microsoft® Access database. Use the Import Local Cases utility in the CaseMap Server Admin Console to migrate local cases to the CaseMap Server.

When upgrading a previous version case to a new version, TextMap recognizes the older case file format, such as a TextMap v4.0 file (.txmap extension) and offers to convert it to the new version format for you. It only takes a minute or so to convert previous cases to the new TextMap format. All transcripts and highlights in the previous version case will be transferred into the current version case.

During the conversion process, TextMap does not change anything in your existing TextMap case. It creates a brand new case and copies all information from the old case into the new one. During the conversion, TextMap changes the file extension of the older version, such as .txmap to .001. This change keeps users from inadvertently reopening the old case with a previous TextMap version. As you convert additional cases, the file numbers will increment to ".002" and ".003" to ensure a unique name. We recommend that you inform case staff when the conversion is complete and that the original case is now renamed. We also recommend that you update all users sharing a case to the current version at the same time.

Previous versions of TextMap are not used during the conversion process, so you can uninstall them at any time.

Case Conversion Considerations

Cases created with TextMap versions 1.0 through 4.0 are not compatible with the new features of TextMap 5.5 and 6.0.

TextMap versions 2.0 through 5.0+ can be converted to the TextMap 6.0 file format (.txmap, which is the same as for versions 3.0 and 4.0).

TextMap no longer supports converting TextMap v1.0 cases. If you need to convert a v1.0 case to the current TextMap version, we recommend that you convert the case to previous TextMap version, such as v4.0 or v5.0, and then convert it to TextMap v6.0.

A converted case can still be accessible to TextMap v3.0 and v4.0 users, if the case file extension is changed back to .txmap. However, new functionality available in the current TextMap version (like TextMap v5.5's video and exhibit linking, and TextMap v6.0's Advanced Search feature, among others) will not be available to those users accessing the case in earlier versions of TextMap.

If a user opens a TextMap v5.0+ case with issues, the case and issues are accessible in TextMap v4.0 (but not in TextMap v3.0).

Once case staff are added to a converted case, like TextMap v6.0, the case is now only accessible to users with TextMap 6.0 licenses.

If you are sharing the case with others users and want them to have TextMap v6.0 features, each user must upgrade to the current TextMap version in order to use them.

1.On the File menu, click Open Case.
2.In the message box, click OK to start the conversion process.
3.In the Open Case dialog box, locate the previous version case file you want to convert, then click Open.
4.In the message box, review the selected case information, then click OK.
5.In the Select the name and location of the converted case file dialog box, locate the directory where you want to save the case, then click Save.
6.In the message box confirming case conversion, click OK.

The message box displays the directory location of the original case and its new file extension.

The converted case now displays in the current version of TextMap.
